Position Objective:

This role also provides logistics support for Chubb-sponsored events and hospitality programs, as required.

Scope:

The Events Coordinator reports to the Assistant Vice President, Events and Sponsorships, Chubb North America

Responsibilities:

Provide support for Chubb-sponsored and industry events as appropriate.

• Perform appropriate procurement processing activities, expense management, and invoice processing.
• Handle all catering and food and beverage operations for scheduled events
• Serve as on-site Chubb representative for select events and hospitality functions
• Provide support for Chubb-sponsored and industry events including guest invitations, registration, management of hotel room blocks and other event logistics as assigned.
• Schedule meetings and handle meeting logistics.
• Support Events Team with PeopleSoft bill paying and Corporate AMX Meeting Card payments.
• Accumulate budget detail from meetings to create a recap of spend.
• Arrange video and teleconference calls, prepare meeting materials and assist with creating presentation materials.
• Be knowledgeable in the process and accessible to support ticket request and approval process according to Chubb corporate policy for luxury suite.


Minimum requirements:

• Bachelor Degree required
• 3+ Years of experience in an event marketing or hospitality role
• Familiarity with contracts
• Excellent oral and written communication skills
• Professional orientation – ability to work with senior level management
• Strong project management skills with the ability to manage multiple projects simultaneously
• Analytical skills with a high degree of attention to detail
• Ability to travel
• Accessible on nights and weekends as needed
